ADMINISTRATIVE AND CLIENT SERVICES COORDINATOR
We are currently hiring for the position of administrative and client services coordinator. We provide accounting and tax services to small businesses and individuals in a variety of industries. As the first point of contact for our clients, the receptionist plays a vital role in providing exceptional customer service while supporting our tax and accounting staff with a variety of administrative and tax related duties. This position is ideal for someone who is detail oriented comfortable with technology and enjoys working in a structured environment.
For the right candidate, we can accommodate a part time or seasonal work schedule.
QUALIFICATIONS INCLUDE:
- Strong interpersonal and communication skills
- Excellent verbal and written communication skills
- Highly organized with strong attention to detail
- Ability to manage multiple tasks and prioritize effectively
- Comfortable using email, scanners, and general office technology
- Proficient with Microsoft Office and ability to learn other office software
- Ability to maintain confidentiality with sensitive client information
- Experience in a client-facing or administrative role is preferred but not required
JOB DUTIES:
- Greet and assist clients both in-person and over the phone with professionalism and courtesy
- Answer and direct incoming phone calls
- Check and respond to voicemail message
- Monitor and respond to online email
- Monitor and respond to online client portal
- Schedule appointments and manage office calendar
- Call clients regarding appointments, missing documents, signatures and other follow up needs
- Log clients into the tax preparation system and prepare files for staff
- Receive organize and manage client documents
- Scan tax documents, quarterly reports and other client records into document management system
- Print client documents and retrieve archived files as needed
- Prepare and send documents electronically for client signature
- Process tax returns for electronic filing
- Maintain organized electronic and physical filing systems
- Shred confidential documents according to company policies
- Provide general administrative support to the accounting and tax staff
- Help maintain an efficient, organized and welcoming office environment
